The honest answer is that you cannot. Raw bank transaction data was designed for clearing systems, not for human eyes. Before any modern fintech product can show a customer what they actually paid for, those descriptors need to be turned into clean merchant names.

This is the merchant identification problem, and it is the single most important step in any transaction enrichment pipeline. Get the merchant right and everything downstream — categories, logos, locations, fraud signals, analytics — gets much easier. Get it wrong and every feature that depends on the transaction feed silently degrades. Customers see strange charges they do not recognise, budgeting tools file groceries under "shopping", and support teams field disputes that should never have been raised in the first place.

Why Bank Transaction Data Almost Never Includes a Clean Merchant Name

Before talking about how to fix the problem, it helps to understand why the problem exists in the first place. Raw bank transaction data is broken not because banks are careless, but because the systems that produce it were built for a different purpose decades ago and inherited every quirk of every payment rail along the way.

A bank descriptor is a short text field, typically 22 to 50 characters, that flows from the merchant's payment terminal through one or more acquirers, through a card network, to the issuing bank, and finally into the customer's transaction feed. At every step, something gets stripped, abbreviated, prefixed, or replaced. By the time the descriptor lands in front of a customer, the original merchant name might be truncated to four characters, prefixed with a payment processor token, padded with a store number, or replaced entirely with the legal entity name of an intermediary. Three structural problems make merchant identification hard at the descriptor level.

Truncation and abbreviation are everywhere. Legacy banking infrastructure imposes character limits on descriptor fields. A merchant called "Verve Coffee Roasters" might appear as VERVE COFFEE ROASTERS, VERVE COFFEE, VERVE, VRV COFFEE, or SQ *VERVE COFFEE ROASTERS SF depending on the acquirer, the payment method, and the country. Each of these is the same merchant, but a naive string match will treat them as four different businesses. Intermediaries inject their own identity. When a transaction passes through a payment facilitator like Square or Stripe, a wallet like Apple Pay or Google Pay, or a peer-to-peer platform like PayPal, the descriptor often shows the intermediary instead of the underlying merchant. SQ *VERVE COFFEE is a Square charge to Verve Coffee. APPLE PAY *MERCHANT 4829 could be virtually any business that accepts Apple Pay. Without separating the intermediary from the actual merchant, your enrichment pipeline will repeatedly identify "Square" as the merchant for a long list of unrelated coffee shops, restaurants, and retail stores. There is no universal merchant identifier. Card networks assign Merchant Category Codes (MCC), but those describe the type of business, not the specific merchant. There is no global registry that maps "the actual business that received this payment" to a stable, machine-readable ID. Every bank, every acquirer, and every payment processor solves the merchant identity problem locally with its own conventions, which is exactly why the same merchant can appear differently across the same customer's accounts on the same day.

These issues are not edge cases. They represent the majority of real-world transactions, which is why merchant identification is so consistently underestimated by teams who have not yet tried to ship it to production.

The Long Tail of Merchants Is Where Accuracy Is Really Decided

When teams first try to build merchant identification themselves, they invariably start with the top brands. Starbucks, McDonald's, Amazon, Netflix, Walmart, Spotify, Uber. These merchants are easy. They have well-known names, consistent descriptors, and they appear in millions of transactions, which means even a basic rule-based system can identify them correctly almost every time.

The problem is that the top 500 merchants only cover roughly half of all consumer transaction volume. The other half is distributed across millions of smaller, regional, and niche businesses, each appearing in different formats across different banks. This is the long tail, and it is where merchant identification accuracy is actually decided.

A handful of numbers make this concrete. The top 500 global brands cover about 50 percent of consumer transaction volume. Reaching 75 percent recognition requires identifying tens of thousands of additional merchants. Reaching 90 percent recognition, the threshold at which a transaction feed starts to feel reliable to a real customer, requires identifying hundreds of thousands. Reaching 95 percent or higher requires the system to handle merchants that have never been seen before, including brand-new businesses, pop-up vendors, gig economy workers, and small regional chains that exist primarily as a Google Maps listing and an Instagram profile.

The accuracy difference between a system that handles the top 500 and a system that handles the long tail is the difference between a demo and a production product. A demo can cherry-pick easy transactions and look impressive. A production product has to handle whatever real customers actually spend money on, which always includes the long tail in proportions that surprise teams who have not measured it.

This is also why benchmark accuracy numbers from enrichment vendors are almost always misleading. Benchmarks are biased toward well-known merchants because well-known merchants are easy to label and easy to test. The hard part of the problem — the small, the regional, the international, the brand-new — is exactly what gets underrepresented in any benchmark dataset. The only honest way to measure merchant identification accuracy is on a random sample of your own production data, manually labelled by a human reviewer. Why Static Merchant Databases Cannot Cover the Long Tail

Vendors maintain large structured tables that map merchant names, aliases, and identifiers to canonical brands, categories, and metadata. Merchant landscapes change faster than databases can update. In the United States alone, roughly five million new businesses are registered every year. Existing businesses rebrand, relocate, change owners, and close every day. A merchant database that was complete a year ago is already missing a meaningful slice of the merchants your customers are actually paying. Database vendors can run continuous ingest pipelines, but the rate of change in the global merchant landscape is structurally faster than any manual curation process can track. Geographic coverage is deeply uneven. Database vendors concentrate their effort on North American and Western European merchants because that is where most of their commercial demand lives. Merchants in Southeast Asia, Latin America, Africa, the Middle East, and Eastern Europe are dramatically underrepresented. Any fintech product with international ambitions inherits this uneven coverage as a built-in limitation, and the gaps tend to become visible at exactly the moment the product starts expanding into a new market.

The long tail is structurally underrepresented. Database vendors focus their effort where it has the highest aggregate impact, which means their coverage is densest at the top of the merchant pyramid and thinnest at the bottom. Reaching 95 percent recognition with a database approach requires curating millions of small merchants, most of which generate so little transaction volume individually that they will never make it onto a vendor's priority list. The economics simply do not work for the long tail.

New payment formats break old assumptions. Even when a merchant is in the database, its descriptor might appear in a format the database does not recognise. A new payment facilitator launches and starts wrapping merchant names in its own prefix. A bank changes its truncation rules and breaks existing matches. A wallet starts substituting the merchant name for its own brand. Database-driven systems treat these changes as breakage and require manual updates to handle them. AI systems can adapt automatically.

The combined effect is that static merchant databases plateau at recognition rates that are good enough for prototypes but not good enough for products that real customers depend on. How AI and Web Context Identify Merchants Without a Static Database

The most effective way to identify merchants in raw bank transaction data is to stop relying on a static database and start reasoning about each transaction in context. This approach has a few important advantages over a database lookup.

It identifies merchants that no database covers. Long-tail businesses, brand-new merchants, regional chains, and small international vendors all leave digital footprints that an AI system can use, even if no merchant database has ever heard of them. This is the source of the long-tail accuracy gain that database-driven systems cannot match.

It adapts automatically to new formats. When a new payment facilitator launches or a bank changes its truncation rules, the AI system can usually still identify the merchant because it is reasoning about the descriptor, not pattern-matching against a fixed list. Database-driven systems require manual updates for each change. AI systems handle most changes implicitly.

It handles non-Latin scripts and multiple languages natively. A single AI model can process Japanese, Korean, Arabic, Cyrillic, and Latin descriptors without needing a separate database per language. That is the minimum viable version, but it leaves a lot of value on the table. A serious enrichment response treats the merchant as a structured entity, not a string, and includes everything downstream consumers might need.

A complete merchant entity should include:

  • Canonical name — the clean, human-friendly brand name
  • Display name — the version that should appear in customer-facing UI, which may differ from the canonical name for stylistic reasons
  • Aliases — alternative names and variants used to match against future descriptors
  • Logo URL — a hosted brand image that the UI can render directly

When all of these arrive in a single response, the rest of your product gets dramatically easier to build. The customer-facing UI gets a logo and a clean name. Analytics get a stable ID for grouping. Fraud systems get an industry classification and a domain. A descriptor-level cache should sit in front of the API call. The intuition is that the same raw descriptor almost always resolves to the same merchant, so caching by descriptor with a 24 to 72 hour TTL eliminates the majority of repeat calls without affecting accuracy.

Best Practices for Merchant Identification in Production

After helping a lot of teams ship merchant identification to production, the same handful of practices show up over and over among the ones that get it right.

Store the raw descriptor forever. Even after a clean merchant name is attached, keep the original descriptor untouched. It is your debugging surface, your re-enrichment input, and your audit trail. Storage is cheap. Losing the raw signal is expensive.

Treat the merchant ID as the canonical key, not the name. Names change. A merchant rebrands, a typo gets fixed, an alias gets normalised. If you key your downstream analytics on the name, every change ripples through your data model. If you key on a stable merchant ID, you get a much cleaner story over time.

Use confidence scores in the UI, not just in the backend. A merchant identified with 95 percent confidence and a merchant identified with 55 percent confidence should not be displayed the same way. The simplest pattern is a tiered fallback that shows the clean name above a high-confidence threshold, falls back to a broader category between thresholds, and shows the raw descriptor below a low-confidence threshold.

Respect user corrections forever. If a customer manually relabels a merchant, that correction must persist through every future re-enrichment cycle. Store user overrides separately from API-derived merchant data and let the override win every time. Any product that overwrites user input loses customer trust faster than any other failure mode in this space.

Re-enrich on a schedule. Hosted enrichment APIs improve continuously as the underlying models improve. A merchant that was uncertain six months ago is often a clean answer today. Build your data pipeline to support periodic re-enrichment of historical low-confidence transactions, ideally gated on confidence so you only re-process the records that stand to improve.

Filter transactions that have no merchant. Internal transfers, ATM withdrawals, bank fees, interest payments, and standing orders to your own accounts have no real merchant to identify. Filtering them out before they reach the enrichment layer saves API calls, avoids low-confidence noise in your data, and keeps your analytics clean.

Test on a representative sample of your own data, not on benchmarks. This applies when you are choosing a provider, when you are upgrading to a new version, and when you are debugging a quality regression.
